A4, updates as you typeWhen you need a tax invoice
If you are registered for GST or VAT, your business customers usually need a tax invoice to claim back the tax they paid you. In Australia a customer can ask for one on any taxable sale over 82.50 dollars including GST, and you have 28 days to provide it. In the UK the same document is called a VAT invoice.
If you are not registered, you do not charge the tax and you do not issue tax invoices. An ordinary invoice is the right document.
What goes on one
The exact list varies by country, but a tax invoice nearly always needs:
- The words Tax Invoice, or VAT invoice in the UK.
- Your business name and your ABN, GST or VAT registration number.
- The date of issue and a unique invoice number.
- A description of each item, with quantity and price.
- The tax rate and the tax amount, shown separately from the price.
- The total, and whether it includes tax.
- For larger sales, the buyer's details. In Australia that means the buyer's name or ABN on sales of 1,000 dollars or more.
Showing the tax correctly
Set the tax label to the name your customer expects, GST or VAT, and the rate to the one that applies. The generator applies the rate to the subtotal after any discount and prints the tax as its own line, which is what makes it claimable.
If some items are taxed and others are not, split them across two invoices or list the exempt items in the notes. One rate applied to everything is only right when everything is taxed at that rate.
The limits of this generator
It prints one tax line. That fits GST in Australia, New Zealand and Singapore, and VAT in the UK. For an Indian GST invoice, with CGST and SGST as two amounts and HSN codes in their own column, use the GST Invoice Generator.
It makes the document and nothing more. It does not file anything with a tax authority, so keep your own numbering sequence and your copies.
How to make a tax invoice
- Enter your business details, with your ABN, GST or VAT number on its own line in the address box.
- Add the customer, including their business number for larger sales.
- List what you supplied, with quantities and prices.
- Set the tax label and rate, such as GST at 10 or VAT at 20.
- Download the PDF.
Questions about tax invoices
- What makes an invoice a tax invoice?
- The details a registered buyer needs to claim the tax back: your tax registration number, the tax amount shown separately, and in Australia a clear statement that the document is a tax invoice. This generator prints the words Tax Invoice at the top.
- Where do I put my ABN or VAT number?
- In your address details, on its own line, for example ABN 12 345 678 901. It then prints under your business name on the PDF.
- Can I use it for an Indian GST invoice?
- Use the GST Invoice Generator instead. It prints CGST and SGST as two amounts for a supply within a state, IGST for a supply between states, and an HSN or SAC code on every line.
- Do I need a tax invoice if I am not registered?
- No, and you must not issue one. Use the ordinary Invoice Generator with no tax on it.
