How to make an invoice in Word, Excel or Google Docs

Start from a blank document and add your business details, the customer's details, an invoice number, the date, a table of what you supplied with quantities and prices, the total, and how to pay. In Excel or Google Sheets, let formulas do the arithmetic; in Word or Google Docs, check the sums by hand. Then save it as a PDF so the figures cannot be changed.

The Invoice Generator does the same job with the totals worked out and a PDF at the end. Invoice Generator

Making one in Word or Google Docs

  1. Open a blank document and put your business name, address and contact details at the top.
  2. Add the word Invoice, a unique invoice number and the issue date where they cannot be missed.
  3. Under a Bill to heading, add the customer's legal name and address.
  4. Insert a table with four columns: description, quantity, unit price and amount.
  5. Fill one row per item, then add subtotal, tax and total rows under the table.
  6. Add the due date and your payment details, then download or export it as a PDF.

Word: tables that do not add up for you

Word tables can hold a formula, under Layout and then Formula, with =SUM(ABOVE) for a column total. But it does not recalculate as you type: you have to right-click the result and choose Update Field. That is behind most wrong totals on Word invoices, because the table looks finished while the number in it is stale.

Word also ships invoice templates under File and then New, if you search for invoice. They save layout time, but check every label against what your country requires: a template written for one market often lacks the tax number or wording another expects.

Excel and Google Sheets: let the sheet do the arithmetic

A spreadsheet is the better choice if you invoice often, because the amount column can be a formula. With quantity in column B and price in column C, the first amount is =B2*C2, filled down, and the subtotal is =SUM(D2:D20). Tax is the subtotal multiplied by your rate, and the total is the two added together.

Keep one master sheet as the template and duplicate it for each invoice rather than overwriting last month's. Overwriting is how invoice numbers get reused and records disappear.

Google Sheets uses the same formulas and has ready-made layouts in the template gallery on the Sheets home screen. Download the finished invoice as a PDF from the File menu.

Google Docs: free, shareable, and easy to get wrong

Docs has no live formulas in tables, so every sum is typed by hand. For a two-line invoice that is fine; for anything longer, a sheet or a generator avoids arithmetic mistakes.

Do not send the Docs link itself. Anyone with edit access can change a shared document after the fact, and even a view link shows your latest version rather than the one you sent. Send the PDF.

What every version must contain

Your business name, address and contact details; the customer's name and address; the word Invoice with a unique, sequential number; the issue date, and the supply date if it differs; a line per item with quantity, unit price and amount; the subtotal, the tax at its rate if you are registered, and the total; and the payment terms, the due date and how to pay.

If you are registered for VAT or GST, your registration number and the tax shown separately are legal requirements in most countries, not decoration.

When a generator is faster

A template is a blank you still have to fill, number, total and export every time. A generator remembers your details, does the arithmetic and hands you the PDF. If you send more than a couple of invoices a month, the time saved is real, and so is the drop in wrong totals.

Questions people ask next

Is there a free invoice template in Word?

Yes. Word includes invoice templates under File and New: search for invoice. They are a sound starting layout, but check the fields against what your country requires before you use one.

How do I number invoices in Excel?

Keep the last number used in a cell on a separate sheet and add one each time. Some countries let you restart the series each financial year, India among them, and others do not, so check yours. Never reuse a number.

Should I send an invoice as a Word file or a PDF?

A PDF. It looks the same on every device and the figures cannot be changed by accident once it is sent.

Can I make an invoice on my phone?

Yes, in the Word, Docs or Sheets apps, but tables are fiddly on a small screen. A browser-based generator is usually quicker on a phone.
